1. What is changing?

In order to be able to login to Office 365 applications, you will need an extra device. This can be your mobile phone, your landline phone or both. This will be only needed when your signing is considered risky. There is an algorithm deciding the risk, contributing factors are: location, device etc. Most of the times this is not triggered and the sign in process requires only username and password.

2. When?

We will adopt a phased rollout, starting Thursday 25/02/2021 and finishing 17/03/2021. Once you are notified extra measures are needed, you will have 14 days to download the app and register it. Please register as soon as you can and do not leave it for the last day.

3. Why are we doing this?

We are implementing Multi Factor Authentication/Conditional access in order to secure your accounts and provide a safer IT environment for all of us. This is industry wide best practice and many other universities adopted it/are in the process of adopting it.

4. How will your logon change?

We will implement risk-based access and only ask for approval/One Time Password when the logon is deemed risky. For most of the users there are few to no prompts. (This is the same process that banks are using and most of you would be used to it by now).

5. Implementation process?

On Thursday 25/02/2021 we will enable registration and start to use risk-based authentication. We hope there will be no change to the way you are signing in, however if you are logging in from a new location/device/etc you might be prompted to approve the logon or input an OTP.

6. What to do if you need help?

We hope the on-screen instructions will be easy to follow, however if you need help, our Service Desk is ready for your questions and will be more than happy to assist you.

7. What if I am not prompted for further information?

It is possible that you registered before for MFA while setting up an RGU provided laptop. If this is the case, you can always update your preferences at: https://mysignins.microsoft.com/security-info

8. Where can I find further information?
