Self-Management of Shared Mailbox Auto-Replies


Using Outlook on the Web (Office 365):


Sign in to Outlook on the web with your RGU user account. https://outlook.office365.com/mail/


Click on your account initial/picture in the upper right corner and select.


Then select open another mailbox.


Type the email address of the shared mailbox. *If you have Full Access Permission, enter the shared mailbox.




Click on the settings icon in the upper right corner and search for “Email Signature.



Customise the signature you want and set the conditions under which you want it to appear.



The click Save, after saving the settings, the signature will be automatically applied to emails sent from Outlook on the web using the shared mailbox


Configuring the autoreply Rules:


Sign in to Outlook on the web with your RGU user account. https://outlook.office365.com/mail/


Open the shared mailbox in a separate browser window by choosing Open another mailbox and entering the shared mailbox email address.


Then select open another mailbox.


Select the Settings menu icon and choose Email, then Rules the by selecting the + (plus) option you can add a new rule.


Save the Rule.


NB: Give the rule an appropriate name and configure conditions, actions, and exceptions as needed
