Electronic Storage Locations for University Users


H Drive:


Your IT account provides you with a default allocation of personal file space on the University network. This file space is accessible as the H:\ drive when you log onto any networked computer on campus using Computer or Windows Explorer. Additionally, you can access your H:\ drive remotely from personal devices via Citrix Workspace (rgu.ac.uk)


More about RGU H:\ drive:


Personal Use: Only you have access to your H:\ drive, using your login credentials. It is intended for storing your personal work or study-related data.


Data Types: You can store various types of data on your H:\ drive, including:


Personal Work-Related Data: including holiday records, job descriptions, training/course materials, presentations, and transient work data (such as developing course materials before publishing on (VLE) virtual learning environment).


Management Data: If you manage other staff members, you can store job descriptions, appraisal information, and disciplinary correspondence.


Study Materials: Coursework and other study-related materials can also be stored here.


Default Space: By default, you are allocated 5GB of space on your H:\ drive.


Backup and Restoration: Your H:\ drive files and folders can be restored to any hourly backed-up version from the last 3 days.


Nightly backed-up versions from the last 28 days are also available for restoration.


Keep in mind that files and folders created and subsequently deleted within the 24-hour period between backups are not retained.

O Drive:


Is your School or Department File Network Storage Space


The O Drive serves as your primary file storage space within your school or department. It is designed for secure storage and can also be used for sharing and collaboration with other departments. 


Purpose: 

The O Drive is specifically allocated for your school or department. It is managed by folder owners within the school/department.


Accessibility: 

You can access your O Drive via Computer or Windows Explorer when using networked computers on campus. Additionally, you can access it remotely from personal devices using MyApps.

Backup and Restoration:


Hourly Backups: Your O Drive files and folders can be restored to any hourly backed-up version from the last 3 days.


Nightly Backups: Versions from the last 28 days are also available for restoration.


Keep in mind that files and folders created and subsequently deleted within the 24-hour period between backups are not retained.

S Drive:


Your S Drive files and folders are subject to the following backup and restoration features:

R Drive: for Research Data Storage.


Staff and research students involved in research projects can be allocated space on the R:\ drive to manage their research data. Here are the key points about the R: drive:

Important Note for Remote Work (WFH)


*When working remotely, ensure that you are securely connected to the Global Protect VPN and your RGU Device is compliant in order to access the network drives. This VPN connection ensures a secure and encrypted connection to RGU network resources.


Article Guide:


A VPN via the application ‘Global Protect’ will allow you to access the network drives from your laptop even when you are not in the office, thus you don’t need to use ‘Explorer’ via Citrix/myapps. This will provide the same experience as being on campus.

 

How do I get VPN?

 

The first step will be to install the Global Protect client onto your laptop from the company portal, once installed you will see the icon on your taskbar.

When you click on the icon, it will show the status, Note that when you are in the office (on the RGU network) it will always be disconnected as its not needed.


 

 

 

When connected you will be able to access the network drives, as in the office, via windows explorer.


 

For clarity, network drives map on your PC at logon, if the drives are not present then the best option is to log off, then on again (triggering the drive mapping process).


One other important point, you will not be able to use VPN if your laptop is not compliant, this means its missing security updates or hasn’t met other security requirements.

 

How will you know if your device is compliant?


Open Company Portal and click ‘Devices’ on the left. ‘Can access company resources’ means your device is compliant.
