To recall or replace a sent email in Outlook, follow these steps based on your Outlook version:
New Outlook Desktop App:
To recall an email in the new Outlook, follow these steps:
Go to the Sent folder for the email account.
Select the message you want to recall to open it in its own window.
In the Message tab, navigate to the Move section of the ribbon.
Click the drop-down arrow for More Move Actions (..).
Choose Recall This Message.
This will initiate the recall process for the selected email.
You will receive an email from [email protected]
Open the Office365Report, and select View Message Recall Report:
The Message Recall Status Report, will show one of 3 options > Recalled > Pending > Failed.
* Note you might need to close/sign out of Outlook for to force Outlook to Sync/Update:
Outlook for Microsoft 365:
Open Outlook https://outlook.office.com/mail/
Go to the Sent Items folder.
Double-click the sent message to open it in a separate window.
From the ribbon, (...) select Advanced actions > Recall Message.
Click OK in the confirmation dialog box.
Shortly thereafter, you’ll receive a Message Recall Report in your inbox.
Open the Office365Reports email.
Click the link in that message to open the report:
From here you can see whether your recall has succeeded, is pending, or failed.
Classic Outlook (Windows):
In the folder pane on the left of the Outlook window, choose the Sent Items folder.
Open the message that you want to recall. You must double-click to open the message. Selecting the message so it appears in the reading pane won't allow you to recall the message.
If you have the Classic Ribbon, from the Message tab, select Actions > Recall This Message:
If you have the Simplified Ribbon, select the Message tab and then select More commands (...). Point to Actions and select Recall This Message:
Choose one of the two options:
Delete unread copies of this message to recall the sent message.
Delete unread copies and replace with a new message to replace the sent message with a new one.
You can also select the Tell me if recall succeeds or fails for each recipient check box.
Outlook for the web (OWA) or Outlook.com:
Sign in to your account.
Open the Sent Items folder.
Locate the sent email and click the (...) More Options Menu:
Choose Recall this message and select either delete unread copies of this message or Delete unread copies and replace with a new message.
Enable the Tell me if recall succeeds or fails for each recipient option.
Click OK to initiate the recall process.
